Prepare a Focused Follow-Up Call With AI

Prepare for the real conversation

Before a follow-up call, define the unresolved decision. The other person may need information, a revised proposal, internal approval or a clearer timeline. AI can organize prior messages and draft a call brief. It cannot know why someone has not responded. Separate what the contact actually said from your assumptions about their interest or availability.

Use an authorized conversation record

Collect the relevant email thread, CRM notes and approved proposal. Identify the latest agreed next step and any promise your team made. Use only records you are authorized to process. Ask the model to cite the date and message for each finding. A brief that says the contact requested a revised schedule should point to the message containing that request.

Build a short agenda

A useful agenda has an opening, a status question, one clarifying question and a next-step discussion. For example: I wanted to reconnect on the proposal. Is this still something you want to consider? What would you need to decide? If it makes sense, should we schedule the review with the other decision maker? Adapt the words to the relationship rather than reading a script mechanically.

Prompt for a respectful brief

Use: From this authorized conversation history, create a one-page call brief. Include the last confirmed status, our outstanding commitments, two unanswered questions and one proposed next step. Cite each factual statement. Do not infer personal motives or suggest pressure tactics. Draft an opening that acknowledges the prior conversation and leaves room for the person to change the timing or decline.

Keep the call flexible

The title of the book is a focus aid, not a guarantee that every conversation ends in seven minutes. Listen when the contact introduces new information. Summarize what you heard, confirm responsibilities and ask permission for the next action. AI can help prepare and organize a draft recap afterward. The conversation itself should remain responsive to the person and the decision in front of you.
