Write a Clear Business Call Recap With AI

Make the recap useful to the recipient

A good recap answers what was decided, what remains open and who does what next. It is not a transcript or a sales pitch. Start with your notes and distinguish definite commitments from ideas discussed. AI can draft a concise summary, but the person who attended the call should confirm that it reflects the conversation before sending.

Capture three kinds of information

Keep decisions, actions and open questions separate. A decision might be to review a revised proposal next week. An action might be for your team to send the pricing options. An open question might be whether a second stakeholder needs to attend. This structure prevents a discussed possibility from becoming an apparent obligation in the recap.

An illustrative recap

Following a seller conversation, a draft might say: Thank you for the conversation. We agreed to review the updated information before discussing terms. Our team will send the document checklist on Tuesday. You will confirm which records are available. Once we have that list, we can choose a time for the next call. The wording should change if any of those dates or commitments were not actually agreed.

Use a bounded drafting prompt

Ask: Draft a short recap from these notes. Separate confirmed decisions, assigned actions and open questions. Include dates only when they appear in the notes. If a responsibility is unclear, flag it for my review instead of assigning it. Do not add an offer, change commercial terms or imply agreement beyond the source. Keep the tone professional and easy to answer.

Save the final version with the next task

After review, store the sent recap with the CRM record or deal file. Schedule the next task based on the actual commitment rather than an arbitrary follow-up cadence. If the recipient corrects the summary, update the record. AI can organize the correction into the same categories. The result is a reliable handoff that helps both parties move the conversation forward.
